How to configure an e-mail program | e-mail client

An E-mail program also known as E-mail client is an application software to manage e-mail account. If you use to communicate online through e-mails, this e-mail program helps you to easily manage your e-mail account for digital communication. Some popular examples of e-mail program/email client are Microsoft Outlook, Mozilla Thunderbird, Apple Mail etc.

Why to use an E-mail Client:

The e-mail client keeps the list of e-mails received by you with sender’s name, subject, date and time of mail received and a few words of message body. You can directly open the required mail first.

It has easy to read the full mail facility with easily forwarding and reply options. You can even delete any e-mail if not needed.

An e-mail program provided easy to use interface for composing a new mail and adding desired recipients to send the mail.

An e-mail program is a standalone application that get updated online whenever get internet connection. E-mail clients can also be web based applications provide free e-mail account to login/signup via browser. For example, Gmail, Hotmail, Yahoo mail etc.

E-mail Programs usually use either IMAP or POP3. Here is basic configuration settings of an email program:

Step 1: Username setup

Here you have to provide your full email address. For example, if your email id is info@msatechnosoft.in , mention the whole e-mail id here.

Step 2: Mail Server configuration

Mail server setting depends on what kind of server you are using. If you are using any dedicated or shared server, the easiest way is to choose server’s hostname. If using Server Cluster, it is better to use DNS instead of server hostname for simplicity.

Step 3: IMAP/POP3 setting

IMAP or POP3 are the protocols used for e-mail program setup. IMAP is more convenient than POP3 because it has all the features of POP3 without any disadvantage. For IMAP port 993 is used and for POP3 port is 995.

Step 4: SMTP Setting

Simple Mail Transfer Protocol (SMTP) is responsible for sending e-mails. It uses port 465, 587 for connection.

Step 5: Encryption

It is the most important setting for privacy setup and for security reason. SSL/TLS encryption should be selected for incoming and STARTTLS for outgoing connection.

Step 6: Client Specific Information

This setting varies from application to application. It is different in different e-mail clients.
